When an Outlook user selects to work in offline mode, then an OST file is created on his computer, which allows him to work in offline mode with MS Outlook. Size of the OST file puts direct impact on the performance of MS Outlook; therefore, you should periodically compact OST file to reclaim the extra space available in it. Compacting OST file reduces its size by the extent of the free space available in the file. Using OST file offers following benefits:

1.Helps improving the speed of MS Outlook

2.Reduces the chance of data loss

3.Enables you to work with MS Outlook when a connection to Internet is disabled

4.Works as a backup copy of userís mailbox on Exchange Server; therefore, enables you to recover lost emails

These are few of the benefits of using OST file. However, to get benefited from these advantages in an impeccable manner, you should periodically reclaim the free space available in the OST file by compacting it. Mentioned below are the steps that help you compact OST file in MS Outlook 2010:

1.Start Outlook 2010 and switch to work offline mode.

2.In the Outlook ribbon select the File tab and then select the Info tab.

3.Now, select the Accounts Settings tab.

4.Click the Accounts Settings button.

5.Now, select Microsoft Exchange Server and click the Change button. A dialog box displaying information about Microsoft Exchange Server appears.

6.Click the More Settings button in the dialog box. The Microsoft Exchange dialog box appears.

7.Select the Advanced tab in the dialog box.

8.Now, click the Offline Folder File Settings button. A dialog box displaying an option to compact the OST file appears.

9.Click the Compact Now button.

As you click the Compact Now button, MS Outlook 2010 starts compacting the OST file configured with it. When the process to compact OST file gets finished, close all dialog boxes, and restart MS Outlook to make the changes effective. This is how you can compact OST file easily to reclaim the space available in the OST file. However, MS Outlook compacts OST file automatically on some regular intervals but at times when you feel that Outlook is behaving in a sluggish manner then you should compact OST file manually by following the method described above.

The purpose of OST file is to allow Outlook users to work in offline mode and to help recovering emails, contacts, etc. when userís mailbox from Exchange Server gets deleted or the Server gets corrupt. In that situation, emails, contacts, notes, journals, tasks, etc. can be recovered by converting OST file to PST file because once the userís mailbox from Exchange Server gets deleted/corrupt, MS Outlook will not be able to access OST file. At that time, the user needs to convert OST to PST using an email migration tool like convert OST to PST. The convert OST to PST tool supports all versions of MS Outlook to help you convert OST created using any version of MS Outlook into PST file.
